How BidPilot works

Free snapshot of your RFP first. Unlock Bid/No-Bid or Readiness when you want the full decision, matrix, and draft. Humans approve anything legally binding.

Your path (spine)

Account → company facts + approved evidence → paste RFP (free snapshot) → unlock Bid/No-Bid or Readiness → answer any confirmations → download artifacts → you submit to the buyer.

1. Company facts & evidence (you)

You

Create an account. On Facts & evidence, load the Evidence library first: short true statements (past projects with buyer contacts, license # + expiration, insurance limits) and approve each — drafts cite only approved rows. Then fill Company profile (services, geography, contract size) and approve it for go/no-go scoring. Profile fields are not automatically copied into proposal text. Starter set for a dense draft: 3 past projects, 1 license, 1 insurance.

2. Free RFP snapshot (you)

You + Gemini

Paste or upload the solicitation before you pay. BidPilot parses buyer, deadlines, scope, and mandatory requirements, then surfaces top packaging risks (bonds, prevailing wage, sealed-copy quirks, tight deadlines). No charge for this snapshot.

3. Unlock Bid/No-Bid or Readiness (you)

You

When the snapshot looks right, unlock analysis on that same job — no re-upload. Bid/No-Bid ($99) is go/no-go + matrix. Readiness ($199 founding) adds strategy, evidence-grounded draft, and RI award-catalogue bid amount. Complete Draft deepens the draft further.

4. Eligibility & bid/no-bid

Gemini — Eligibility and Bid/No-Bid Agents

Compares mandatory requirements against your approved evidence (never assumes unknowns are satisfied). Scores fit across nine factors and recommends pursue, pursue with conditions, partner, monitor, or decline. The score is decision support, not a calibrated award probability.

5. Compliance matrix

Gemini — Compliance Matrix Agent

Builds the requirements matrix: source, mandatory status, planned response section, evidence status, and risk. Included in Bid/No-Bid and higher packages. Exportable as CSV.

6. Strategy & drafting (Readiness / Complete)

Gemini — Strategy and Drafting Agents

On Readiness and Complete packages only: designs win themes, writes first-draft sections from approved evidence only, and proposes an advisory bid amount from BidPilot’s Rhode Island award catalogue — each cited comp includes its public source URL. Missing facts become [CUSTOMER CONFIRMATION REQUIRED] placeholders — never invented. Pricing always requires your approval. Bid/No-Bid stops after the matrix.

7. Verification & your review gates

Gemini + You

Claim verification and compliance review run automatically. You may be asked to answer clarification questions, continue after the go/no-go screen, or review flagged items before delivery. Those gates are part of finishing the package you already unlocked.

8. Delivery — you submit

You

Download the decision, matrix, and (on higher tiers) draft. One revision is included on draft packages. You complete forms, wet-ink items, pricing, and packaging, then submit to the buyer yourself.
